TITLE: HR & Admin Coordinator

TEAM/PROGRAMME: Human Resources/ Admin Department MEEE Regional Office

LOCATION: Amman, Jordan

GRADE: 5

CONTRACT LENGTH: 12 MONTHS

CHILD SAFEGUARDING:

Level 3: the role holder will have contact with children and/or young people either frequently (e.g. once a week or more) or intensively (e.g. four days in one month or more or overnight) because they work in-country programs; or are visiting the country programs; or because they are responsible for implementing the police checking/vetting process staff.

ROLE PURPOSE:

The purpose of this role is to support the day to day activities of the HR/ Admin department.

As a member of the Regional HR Team, you will be primarily responsible for supporting the regional office and Country Offices in HR/Admin operations. In addition, being involved in recruitment, learning & development and compensation and benefits at the regional and country level.

The post holder will be the focal point for following up on HR systems with Country Offices and as well as to build the capacity of different HR users in the region.

SCOPE OF ROLE:

Reports to: Regional Human Resources Manager.

Dimensions: Save the Children works in 12 countries in the Middle East and Eastern Europe Region with a current staff complement of approximately +2000 staff.

Key responsibilities and accountabilities:

General HR Operations Activities:

Support the Regional HR team to ensure the availability of all HR related policies, SOPs, checklists, and guidelines for the Regional /Country HR teams.

Maintaining records of personnel-related data in both paper and the database and ensure all employment requirements are met.

Be the focal point in following on national staff health insurance.

Contract administration for Regional Office staff.

Support Regional HR in processing changes for international and national staff benefits and contracts.

Support the HR Department in organizing team building activities, events and meetings.

Produce and submit HR Strategic metrics reports.

Be the focal point in following on national staff health insurance.

Assist in talent acquisition and recruitment processes.

Assist in Learning and Development activities (Ex: Follow up on SCI Mandatory Trainings)

Comply with Save the Children policies and practices concerning child safeguarding, code of conduct, safety and security, fraud, and other relevant policies and procedures.

Ensure compliance with labor regulations.

Support in any other assigned tasks as required including ad-hoc requests,

General Administration for HR Systems:

Be the focal point for following up on Oracle issues with Country Offices and as well build the capacity of different HR users in the region; ensuring quality data is available.

Handle leave management for Regional office staff and ensure updated data reflected into Agresso System.

Liaison and Governmental Relations

Ensure applications and documents submitted to Government Departments (Ministry of trade, Ministry of Labor, Ministry of the interior, Visa department, police station and governor office) are followed up in a timely manner.

Assist and support international staff and visitors on visa/work permit processes, preparing invitation letters, working with Admin Officer for longer-term working permits and residencies.

Accountable for ensuring that agency registration & governmental registrations, needed renewals are in place for all facilities and vehicles.

General Administration

Maintaining manual and electronic stationery system, maintaining issuing & recording of office supplies & consumables.

Assist in cleaners' supervision and maintaining healthy working conditions.

Responsible to facilitate the booking of RO meeting rooms.

Follow up with RO staff to issue business cards & staff ID.

Support when needed with the external and internal meetings - events, preparation, and bookings.

Assist in making clear and systemic follow up of payment settlements (related to Electricity, Water, Telecommunication, Diesel), of office and related staff houses.

Manage and update the contact list database.

Liaise with other departments or functions (payroll, benefits, etc.)

QUALIFICATIONS AND EXPERIENCE

Essential

Minimum of 2-3 years of experience in Human Resources and/or Administration.

Bachelor's degree in a related field.

Cross-cultural experience, understanding and sensitivity.

Experience of and well-developed skills in recruitment and selection

Good attention to detail.

Good facilitation skills and ability to deliver induction briefing/training.

Ability to work comfortably and effectively, either at own initiative or under direction;

Excellent organizational and time management skills;

Excellent interpersonal and written and oral communication skills;

Computer literate (i.e. WORD, advanced Excel, Outlook, Internet Explorer, financial systems).

Fluent in both Arabic and English
